Getting Started

Sign in to the Merchant App, find your way around the Home screen, and know what each role can do.

The Okya Merchant App is the handheld your staff use to take orders, take payment, manage the order queue, and handle stock. This guide gets you from a locked device to a working Home screen.

1. Sign the device in to your store

Open the app. The welcome screen reads Welcome to Okya Merchant, how would you like to login? and offers two ways in.

  • Log in with e-mail: enter the store account email and password.

  • Log in with QR Code: scan the code shown on screen with a phone that is already signed in. Useful on devices where typing is awkward.

Note: This step signs the device in to the store and is normally done once, when the device is set up. Day to day, staff use step 2 instead.

2. Sign in as yourself

The Select Staff screen lists everyone who can use this device.

  1. Find your name. Use Search staff name if the list is long.

  2. The badge on the right of each row is that person's role, either Employee or Manager.

  3. Tap your name, then enter your passcode on the number pad.

New: a new starter shows up in this list as soon as they have been added centrally. You no longer need to close and reopen the app for their name to appear.

Tip: To hand the device to a colleague, use Change user in the More menu rather than signing out. See Settings and Changing User.

3. Find your way around Home

  • The blue header shows your name, your role badge, your store, and how long your shift has been running.

  • The Menu tiles are your tasks: Quick Order, Order History, Close Out Day, Cash Deposit, Cash Drawer, and Stock Activity.

  • The bottom bar switches between Home, Quick Order, and More.

New: Home now shows your store, your shift, and your tiles the moment it opens, instead of making you wait while it loads. What you see first is what you can tap.

A greyed out tile means it is not available yet. Quick Order stays greyed until you start your shift, and Cash Drawer shows an orange Inactive badge until a drawer is opened.

Note: Some stores also have an Orders tile and tab, and a Today Orders count on Home, for following the live order queue. If you cannot see them, Order Manager is switched off on this device. See Order Manager Settings.

4. Your first few minutes

  1. Check the printer is connected. A red Printer Not Connected banner means it is not. See Printer Settings.

  2. Tap Start Shift in the banner at the bottom of Home.

  3. Open the Cash Drawer and enter your starting cash, if you will be taking cash.

  4. You are ready to take orders. See Taking an Order.

5. Refreshing the app

Tap the refresh icon in the Home header to pull down the latest menu, stock, and shift information. Use it when a price or a new item has been changed centrally and you cannot see it yet.

New: the refresh screen now has a Back button, and if a refresh is still running it asks you to confirm before you leave. Let it finish where you can, so the device is not left with half the update.

6. Roles

Your role appears as a badge next to your name on the Home screen. Manager can approve actions that staff cannot do alone, such as approving a stock count or cancelling a transfer. When a manager's approval is needed, the app asks for a manager to select their name and enter their passcode, and they do not need to be signed in to the device to do it.
