Understanding User Roles and Permissions

Every user in Okya is assigned a role that controls what they can see and do. This guide explains each role so you can assign the right level of access to your team.

The Roles

Okya has 4 user roles. When you create a new user, you choose one of these roles for them.

Role

Who is this for?

Tenant Admin

The business owner or operations director. Has full access to everything within the organization.

Store Admin

A store manager. Has broad access to run day-to-day operations within their assigned store.

Store Staff

A frontline employee (cashier, server, etc.). Can take orders and handle basic tasks within their assigned store.

Tenant Staff

Currently not in use. Users assigned this role will have no access.

Important: Store Admin and Store Staff are always tied to a specific store. They can only see data from that store — never from other stores in the same organization.

Important Notes

  1. Store roles are store-scoped. Store Admin and Store Staff can only see orders, shifts, cash drawers, and employees from their assigned store.

  2. The role is set on the user account, not the employee profile. To change someone's permissions, update their role under Users in the sidebar. See How to Invite a New User for details.

  3. Tenant Staff is inactive. This role exists in the system but has no permissions configured. Do not assign it to users.

  4. Commerce Admin cannot access orders or reports. If someone needs to manage both products and orders, they need the Tenant Admin role.
