Stock Transfers

Send stock from your location to another and track it until it arrives.

A stock transfer moves stock out of your location and into another one, for example sending spare supplies to a branch that has run short.

1. Open Stock Transfers

Open Stock Activity from the Home screen, then tap Stock Transfers under Stock control.

The tabs show transfers at each stage: Draft, Pending, Shipped, Partially Received, Received and Cancelled. Each row is labelled Transfer out, so you can tell at a glance that the stock is leaving you. The list opens on the last 14 days, so change the date filter if you are looking for an older transfer.

2. Start a transfer

Tap New Stock Transfer.

  1. Source location is filled in for you and cannot be changed. It is your own store, where the stock is leaving from.

  2. Choose the Destination location you are sending to. This one is required.

  3. Set the Document date, which is the date of the paperwork.

  4. Set the Expected delivery date, which is when the receiving location should get it.

  5. Add Notes if the other location needs context.

  6. Tap Continue.

3. Add the items

  1. Add each item you are sending and the quantity.

  2. Every line tells you what you have to give, for example Available: 4.5 kg. Check the unit on the line as well as the number.

  3. You cannot send more than you hold. Type too much and the line turns red with a message such as Maximum available is 4.5 kg, and the transfer will not submit until you bring it down.

  4. Save it as a draft to come back to, or carry on and submit it.

If you save while some lines are still blank or set to zero, the app warns you and offers to leave those lines out.

4. Submit it and reserve the stock

When you submit, the app warns you that this reserves the selected stock at your store, and that you will not be able to change the locations, items, or quantities afterwards. Read the list once more before you confirm.

The transfer then moves to the Pending tab, and when you open it the status reads Ready to ship. It stays that way until someone taps Ship transfer.

Reserving is why your available figures drop the moment you submit, before anything has physically left the building. The stock is spoken for. If you look up one of those items straight afterwards and the number looks low, this is why.

5. Ship it

When the goods physically leave, open the transfer and tap Ship transfer. The app confirms it with a short message on screen and the transfer moves to the Shipped tab. The remaining tabs, Partially Received and Received, are where it appears once the other location has checked the delivery in.

Tip: Open a transfer and use Activity history at the bottom to see who did what to it and when. It is the quickest way to settle a question about a missing delivery.

6. Cancel a transfer

Open the transfer and choose to cancel it. Cancelled transfers stay in the list under the Cancelled tab.

A transfer moves stock you are sending out. To ask another location to send stock to you, use Stock Requests instead.
