Stock Requests

Ask another location to send you stock, and track the request until it arrives.

A stock request is how you ask another location to send stock to you. It is the mirror of a stock transfer: a transfer pushes stock out, a request pulls stock in.

1. Open Stock Requests

Open Stock Activity from the Home screen, then tap Stock Requests under Stock control.

The tabs show requests at each stage: Draft, Pending, Approved, Rejected and Canceled. The list opens on the last 14 days, so change the date filter if you are looking for an older request.

2. Start a request

Tap the button at the bottom to start a new request.

  1. Choose the Source location, which is the location you are asking to supply the stock.

  2. The Destination location is your own store, filled in for you and not changeable. It is where the stock is coming to.

  3. Set the Expected delivery date, which is the date you need it by.

  4. Add Notes if the supplying location needs context, for example a promotion you are preparing for.

  5. Tap Continue.

3. Add the items

  1. Build the list from scratch by picking items one by one, or start from a saved template if this is a request you raise regularly.

  2. Each line shows On hand, which is how much you currently hold at your own store, so you can judge how much to ask for. Check the unit on every line as well as the number.

  3. Save the request as a draft to come back to, or carry on and submit it.

The On hand figure is your own level, not the supplying location's. It tells you how short you are, not whether they can fill the request.

If you save while some lines are still blank or set to zero, the app warns you and offers to leave those lines out.

4. Send it for approval

When you submit, the app tells you the request will be sent for approval, and that you will not be able to change the requesting location or the items while it is waiting. Check the list before you confirm.

The request is then marked Awaiting approval and carries a banner reading Waiting for the store admin to approve this request. Nothing moves until someone approves it.

5. While you wait

Open the request and tap the three dots in the corner for three more options.

Available while the request is awaiting approval.

Cancel

Cancels the request. Use this when you no longer need the stock.

Preview PDF builds the full Stock Transfer Request document and shows it on screen: the address the stock is coming from, the address it is being shipped to, the table of items, and signature lines for Approved by, Canceled by and Issued by. From there you can download it or share it, which is handy if the supplying location wants the paperwork before they pick the order.

6. Track it

A request opens straight away and fills in its lines as they load. At the bottom is an Activity history recording each stage it passed through, when, and who moved it there.
