Stock Counts

Count what is physically on the shelf, three ways: from scratch, from a template, or count all.

A stock count is where you check what is really on the shelf against what the system thinks you have. Do it regularly so your figures stay trustworthy.

1. Open Stock Counts

Open Stock Activity from the Home screen, then tap Stock Counts under Stock control.

The tabs across the top show counts at each stage: Draft, Started, Counted, Completed and Canceled. The list opens on the last 14 days, so change the date filter if you are looking for an older count.

2. Start a count

Tap New Count. You are offered three ways to build the list.

When to use it

From Scratch

You pick the items yourself, one by one. Best for a spot check on a few things.

From Template

A saved list of items you always count together. Best for a count you repeat, such as every Monday.

Count All

Every item you hold. Best for end of week or end of period.

Templates are kept ready on the device, so the list of them opens straight away. Each one tells you how many items it holds, for example Daily Kitchen Count, 7 items, so you can pick the one that matches the shelves you are about to walk.

3. Count the items

  1. Items are listed in name order. Tap the search icon to jump straight to one item, or use the category control to jump to a whole group.

  2. Tap a line and enter the quantity you actually have on the number pad. The up and down arrows move you to the line above or below without closing the pad, so you can work down a shelf without stopping.

  3. Turn on Hide counted so only the items you still have to do stay on screen. Turn it off again to review or correct a figure.

Note: Count what is on the shelf, not what you expect. The whole point is to surface the difference.

If you save while some lines are still blank or set to zero, the app warns you and offers to leave those lines out of the count.

4. Mark the count as counted

Tap Counted when every item has a figure. The app asks you to confirm, with a reminder that reads Recheck is required. Count what you see, do not estimate. Confirm, and the count moves to the Counted tab ready for review.

5. Review and approve

Open the count from the Counted tab. Every line shows the current stock figure next to the figure that was counted, along with the Variance and the Variance %. Turn on Variance items only to see just the lines that disagree.

  1. Tap Recount to send it back to be counted again.

  2. Tap Approve to accept the figures. The count moves to Completed.

Approving a count automatically creates a stock adjustment for every difference it found, which is what brings your stock figures into line with what was counted. You do not enter those corrections yourself, and you will see the adjustment appear in Stock Adjustments.

6. Track a count

A count opens straight away and fills in its lines as they load, so you can start reading before everything has arrived. At the bottom of every count is an Activity history recording each stage it passed through, when, and who moved it there.

To abandon a count, cancel it. Cancelled counts stay in the list under the Canceled tab.
