Purchase Orders

Raise a purchase order to a vendor and track it through to received.

A purchase order is what you send a vendor when you want them to deliver stock. This guide covers creating one, sending it, and receiving the delivery, including deliveries that arrive in more than one drop.

1. Open Purchase Orders

  1. On Home, tap Stock Activity.

  2. Under Purchasing, tap Purchase Orders.

The tabs across the top follow an order through its life: Draft, Pending, Partially received, Completed, and Cancelled. The list shows the Last 14 days by default, and you can narrow it by vendor.

2. Start a purchase order

  1. Tap New Purchase Order.

  2. Check the Receiving location. This is where the stock will land.

  3. Pick the Vendor you are ordering from.

  4. Set the Expected delivery date, and add Notes for the vendor if you need to.

  5. Tap Continue.

3. Add the items you are ordering

Choose how to build the list:

  • From Scratch: search and pick items one by one.

  • From Template: pull in a saved list of items your store orders regularly.

4. Enter quantities and prices

Each line arrives ready to go: it starts in the item's default purchase unit and the net price is already filled in with that item's default purchase price. Where a purchase unit differs from the stock unit, the line spells out the conversion, for example 1 box = 20 ea, so you always know what you are actually ordering.

  1. Tap the quantity box on a line and enter the amount using the number pad.

  2. Use the up and down arrows on the number pad to move between lines without closing it.

  3. To change a price, tap Edit on that line. The sheet shows the quantity, the net price, and a running total for the line. Remove takes the item off the order.

Long order? Use the search icon above the item list to jump straight to an item, and switch on Show items with quantity only to hide everything you have not touched yet.

5. Send it to the vendor

  1. Tap Submit purchase order.

  2. Read the confirmation, then confirm.

The order moves to Pending and its status reads Awaiting receipt. Activity history at the bottom of the order records every step and who took it.

6. Receive the delivery

Open the order when the stock arrives and enter what actually turned up, line by line.

  • Everything arrived? Tick Receive all remaining to fill every line at once.

  • Only part of it arrived? Enter what you received and leave the rest blank.

  • Show unfinished only hides the lines you have already completed.

Tap Receive items. If some lines are still outstanding, the app shows a partial receipt confirmation telling you how much you are receiving now and how much stays pending.

The order moves to Partially received and shows how many lines are left, for example 1 of 3 remaining. Your stock goes up by what you received.

7. Finish the order

  1. When the rest of the delivery arrives, open the order again.

  2. Tick Receive all remaining, then tap Receive items and confirm.

The order lands in Completed. The detail screen carries a Summary with the total cost of everything received.
