Cash Deposit

A cash deposit is a record of cash transferred from your register drawer to a bank. All deposits are tied to a business date and appear in the End of Day report.

1. Opening the Deposit Screen

  1. From the POS dashboard, tap Cash Deposit.

  2. The Deposit screen opens. The left panel shows deposit history for the current business date. The right panel displays a Create deposit button and a reminder: "Deposits are recorded for the current business day and will appear in the End of Day report."

2. Creating a Deposit

  1. Tap Create deposit in the right panel.

  2. A Deposit dialog opens with two sections -- details on the left, amount entry on the right.

Fill in the Details (Left Side)

  1. Business date -- defaults to today. To change it, tap the date field, select a different date from the calendar, then confirm.

  2. Select bank account -- choose the destination bank account from the dropdown. If only one bank account is configured, it is selected automatically.

  3. Note (optional) -- enter a short reason or reference for the deposit (up to 80 characters). The placeholder reads "Reason for deposit."

Enter the Amount (Right Side)

  1. Use the on-screen number pad to key in the deposit Amount. You can also tap a quick-amount suggestion button to add a preset value.

  2. To correct the amount, tap the clear (X) button next to the amount field, or use the backspace key on the number pad.

Confirm

  1. Tap Create Deposit to submit. The button is disabled until you enter an amount greater than zero.

  2. A success message -- "Deposit created successfully" -- confirms the entry. The dialog closes and the new deposit appears in the list.

No bank account? If no bank account has been set up, you will see a message: "No bank account is set up yet." Contact your manager or administrator to add one before creating a deposit.

3. Viewing Deposit History

  1. On the Deposit screen, the left panel lists all deposits for the selected business date.

  2. To view a different date, tap the date picker at the top of the left panel and select the desired date. You can go back up to one year.

  3. Each deposit card shows:

    • The deposit amount and a status badge (Deposit or Undo Deposit).

    • Logged by -- the employee who created the entry.

    • Log Date -- the time the entry was recorded.

    • Bank Account -- the destination account.

    • Business Date -- the date the deposit applies to.

    • Note or Reason for undo -- any note attached to the entry.

  4. If no deposits exist for the selected date, the screen displays "No deposits found."

  5. The top-right corner of the screen shows the Unreconciled amount -- the difference between total deposits and the expected cash figure.

4. Undoing a Deposit

You can undo a deposit only if it was created on today's business date and has not already been undone.

  1. Find the deposit you want to reverse in the list. Deposits that are eligible show an Undo button on the card.

  2. Tap Undo.

  3. A confirmation dialog appears with the title Undo Deposit? and the message: "Are you sure you want to undo the deposit of [amount]? This will add a negative entry to the ledger."

  4. In the Reason for undo field, type the reason for the reversal. This field is required (up to 88 characters).

  5. Tap Confirm Undo to proceed, or tap Cancel to go back without changes.

  6. Once confirmed, a new entry with the status Undo Deposit appears in the deposit list, and the unreconciled amount updates accordingly.
