A promotion is a discount you set up once in Okya web. Every promotion has three tabs: Details (its name, dates and how it gets onto an order), Rules (which orders qualify) and Actions (what comes off the price). A promotion only works once it is Published.
This guide builds two examples you can copy: 10% off orders from ฿500, which applies by itself, and Staff meal 50% off, which staff apply at the counter.
Note: You need a tenant admin account to create and publish promotions.
1. Before you start
Activation types. The Activation type choices on the form are switched on per business. If you do not see Applied manually by staff, contact Okya support to turn it on. You cannot add it yourself.
Categories (optional). Categories group related promotions, for example Staff or Daily Deals. Create them in Settings › Promotion Categories › New Promotion Category with a Name and a Code. They do not change how a promotion works.
2. Create the promotion
Go to Promotions and click New Promotion.
Enter a Name and a Display name. Both are required. Customers see the Display name; the back-office search uses the Name.
Pick a Promotion Category and add a Description if you want.
Leave Usage limit and Per customer usage limit at 0 for no limit. Usage limit is the total number of times the promotion can be used; Per customer usage limit is the number of times each customer can use it.
Leave Priority at 0, and Stackable and Include discounted items switched on, unless another promotion could apply to the same order. See step 7.
Set Starts at and Ends at, or leave them empty so the promotion has no start or end date. Enter the times 7 hours behind Thai time: to end at 23:59 on 31 December, enter 31/12/2026 16:59. The list then shows December 31, 2026 11:59pm.
Under Activation type, choose how the promotion gets onto an order. For the first example, choose Automatic to all orders.
Click Save. You go back to the Promotions list with Promotion was created successfully, and the promotion is a Draft.
Important: You cannot change the Activation type after you save. To switch, create a new promotion.
The activation type decides how the promotion gets onto an order:
Automatic to all orders: applies by itself to every order that meets the rules.
Single promotion code: one code that everyone uses, for example SAVE10. Enter it in Value.
Applied manually by staff: never applies by itself and needs no code. Staff pick it at the counter. See step 6.
Multiple promotion codes: paste a list of codes, one per line. Each code can be used once. Loyalty rewards use this type.
3. Add the rules
Rules decide which orders qualify. Open the promotion from the Promotions list, then open the Rules tab.
Click New Promotion Rule.
Choose the Type. For the first example choose Order Total and enter 500 in Amount.
Click Save.
An order must meet every rule. For "this or that", create two promotions.
A promotion with no rules applies to every order.
Order Total counts the items and their modifiers before any discount, without the delivery fee.
The rule types you will use most:

4. Add the action
The action decides what comes off. It takes two saves: first the type, then the amount.
Open the Actions tab and click New Promotion Action.
Choose the Type. For the first example choose Order Adjustment. Click Save.
The action opens again with a new Calculator information section. Choose the calculator, for example Percent Per Total, and enter 10 in Percent. Add a Discount limit to cap the discount, or leave it blank.
Click Save.
Important: An action without a calculator takes nothing off. Always finish the Calculator information step.

Create Order Line Item | adds the Product variant you pick, in the Quantity you set, to the order. It has no calculator, so add a discount action too if the item should be free |
Calculators include Flat Rate (a fixed amount), the Percent ones, New Price (a set price), and Tiered ones that give bigger discounts to bigger orders.
5. Submit and publish
A promotion does nothing until it is published. On the promotion's page:
Open the ⋯ menu, choose Submit and confirm with Yes. The status changes to Pending.
Open the menu again, choose Publish and confirm with Yes. The status changes to Published.
A published promotion applies only between its Starts at and Ends at.
You can still edit a published promotion. It stays Published when you save.
To stop it, choose Unpublish from the ⋯ menu. It goes back to Draft; submit and publish it again to restart it.
6. Set up a promotion staff apply by hand
Use Applied manually by staff for discounts a person decides on, such as a staff meal, a manager's discount or a complaint. It never applies by itself and needs no code.
Create a promotion as in steps 2 to 5, for example Staff meal 50% off, with Activation type Applied manually by staff.
Choose a Promotion Category, for example Staff, and write a Description that says when to use it, for example "Staff on shift only. One meal per shift."
Add rules only if it is for some orders only, for example a Store(s) rule for one branch. With no rules, staff can use it on any order.
Add the action: Order Adjustment, then Percent Per Total 50, and a Discount limit such as 150 to cap it.
Submit and Publish it.
7. When several promotions fit one order
Three settings on the Details tab decide what happens when more than one promotion fits an order:
Priority: promotions with a lower number are applied first.
Stackable: on, the promotion can be combined with others. Off, it applies on its own only.
Include discounted items: off, items already discounted by an earlier promotion are not discounted again.
With the default settings (every promotion at Priority 0 and Stackable on), the discounts add up. On a ฿600 order, 10% off and a staff meal 50% off give ฿60 + ฿300 off.
Tip: To make a staff promotion replace an automatic one, give it a lower Priority number than the automatic one (for example staff 0, automatic 10) and switch its Stackable off.
8. If a promotion does not apply
